How to Plan a Coffee Bar for a Brand Activation

A branded coffee cart is often the most photographed thing at a launch. How to plan one, from branding and menu to space, timing and tracking results.

Almost every guest stops for coffee. That makes a coffee bar a reliable way to pull people in at launches, sampling days, influencer events, trade show booths and pop-ups. When it carries your brand, it ends up in a lot of photos.

1. Start with the goal

Do you need foot traffic at a booth? Something for influencers to post? A way to show off a product, like a creamer or a snack pairing? Or just happy guests? The answer shapes the menu, the branding and where the cart goes.

2. Decide what carries the brand

  • The cart, with a full wrap in your colors and logo.
  • The menu, with drinks named after your campaign.
  • The cups or sleeves, which leave with every guest.
  • The drink itself, with logo latte art or a drink built around your product.

You don’t need all four. A custom menu and branded cups are often enough. A full wrap makes the cart part of the set.

3. Keep the menu short

At busy events, three or four signature drinks plus espresso keeps the line moving. Include at least one iced drink and one caffeine-free option. If your product is an ingredient, build a drink around it.

4. Plan space and logistics early

  • About 6 by 6 ft per cart, plus room for a line that doesn’t block your setup.
  • A standard outlet near the cart. Tell us early if power is limited outside.
  • The venue’s load-in window and any dock or union rules.
  • A certificate of insurance, which most venues ask for. Request it when you book.

5. Give yourself time

Four to six weeks is ideal, and longer for a wrapped cart. Sometimes we can do it faster, so ask.

6. Track it

Count drinks served and watch posts and tags. If you’re collecting leads, put the QR code or scanner at the cart, where people are already waiting.
